Executive Assistant

Responsibilities:

OVERVIEW
The Executive Assistant reports to both the SVP Business Development and the VP Finance for the International Television division. This assistant is responsible for managing schedules, coordinating meetings/conference calls, arranging video conferences and telepresence meetings, and handling domestic and international travel arrangements.
Responsibilities

  • Manages complex schedules of both the SVP Business Development and the VP Finance and coordinates meetings with internal and external parties across multiple time zones by utilizing multiple calendars
  • Coordinates a high volume of both domestic and international travel schedules and arrangements, collects required travel documentation, be on-call for last-minute itinerary changes and in-transit emergencies
  • Prepares and processes purchasing card and expense reports in accordance with established divisional travel policy guidelines; Ensures the timely processing of expenses utilizing the latest electronic processes for payment to Corporate credit card
  • Coordinates business dinners as well as various parties and events
  • Maintain, organize, prepare copies of and/or distribute financial reports and other documents
  • Assist in creating and assembling PowerPoint and Excel presentations
  • Maintains proper recordkeeping and filing system for all work
  • Performs basic administrative tasks, e. g. faxing, photocopying and filing
  • Assists other department members as necessary
  • May assist in making arrangements for temporary help, storage, meeting offsites etc.
  • Maintains contact lists
  • Additional duties/projects as needed

  • Qualifications/Requirements

    Basic Qualifications

  • High School Diploma/GED Required; Bachelor's degree preferred
  • Minimum of 5 years of Executive Assistant experience

  • Proficient in Microsoft Word, Outlook, PowerPoint, and Excel
  • Knowledge of all basic office equipment required
  • Exceptional verbal and written communication skills
  • Interest in International Media is desired
  • Fluency in foreign languages is a plus (business acumen fluency)
  • Demonstrated ability to think clearly and quickly under pressure and be comfortable with changing deadlines
  • Must consistently demonstrate a high quality of work performed, both accurately and efficiently
  • Executive-level interpersonal and customer service skills are required to effectively deal with all levels of internal and external clients
  • Must be able to maintain department business with the utmost confidentiality
  • Initiative - Demonstrate initiative by confidently self-starting improvements to office procedures, reports and processes and requires minimal supervision

  • Don't Be Fooled

    The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
